How do I book flights for my trip?

You’re welcome to arrive on the first day of your trek. ‘Day 1’ of your itinerary is designed around arrivals, so there’s no need to be there earlier unless you want to be!

For most of our destinations, you’ll need to leave the UK the day before the trip starts, as flights often involve long travel times and stopovers. For example, if your trip begins on the 3rd, you’ll most likely depart the UK on the 2nd.

You can also arrive before Day 1, and we can help arrange accommodation and transfers (more on that below). However, if you're booked on our Peru trek to Machu Picchu, it’s slightly more complicated, so we recommend reading the article ‘Travel to Machu Picchu’ for more detailed guidance.

When it comes to departure, the final day of your trip is your ‘departure day’, so for most treks, you can safely book your return flight home for that day. If you'd prefer to spend extra time in-country, either exploring or relaxing, that’s no problem at all we can help with additional accommodation and airport transfers to match your plans.

Important: If you're trekking to Everest Base Camp or similar Himalayan treks, we highly recommend allowing at least one buffer day after your trek. The weather in the mountains can be unpredictable, and delays especially at Lukla Airport, do occasionally happen. A spare day gives you peace of mind and maybe even more time to enjoy Kathmandu. Unless you let us know otherwise, we’ll automatically arrange your additional nights based on the flight details you provide, and you’ll pay for those nights directly to the hotel upon arrival, so there’s nothing extra to pay in advance.

If you do prefer to arrange your own accommodation and transport, just let us know so we can update our plans accordingly.

Although it might be tempting to hold off for last-minute deals, we find that booking flights in advance usually results in the best prices, and it’s one more thing ticked off the list!

We recommend booking your flights six to twelve months before your trip.

Top tip: If price is a concern, use tools like Skyscanner or Momondo to find the best flight deals, but make sure you book through a reputable company. If you’re not familiar with the provider, check online reviews. For peace of mind and reliable customer service, we often find that booking directly with the airline is best.

We need your flight details a few months before your trek so we can make crucial logistical arrangements. Ideally, we need:

• At least 3 months’ notice for most treks
• At least 6 months for treks like Machu Picchu or those with minimum group sizes

You’ll upload these details through your Members Area, which you’ll gain access to after booking. If you’re the lead passenger (i.e. you booked for a group), you’ll be responsible for submitting flight and passport details for everyone, and for managing payments.

Internal flights are not included in your EverTrek package. These are arranged separately by our trusted local partners in Nepal, who will book your flights for you based on your trip details.

This approach offers more flexibility, especially in destinations where weather or local conditions can sometimes affect flight schedules. By having these flights managed locally, it ensures quicker decisions and smoother adjustments if anything changes - all without any extra effort from you.

It’s a simple, stress-free process:

The cost for your internal flight and transfers is approximately $450 USD per person (+4% transaction fee). We’ll send you a secure payment link around 2–3 months before your trip, and you’ll have until 30 days before departure to complete the payment.

Everything is handled for you no hassle, no forms, just great local organisation. If you have any questions, our team are always on hand to support you.

For most treks outside of Nepal, you’ll need to bring your own duffel bag or hire one on arrival. While we plan to offer EverTrek duffel bags for all destinations in the future, this is currently only available for Nepal trips.

If you're receiving a free duffel bag in Nepal or hiring one locally, you can still bring your usual luggage, such as a suitcase or travel pack, and leave it securely at the hotel during your trek.

There’s no need to drag a heavy duffel bag across countries or break your back with a massive backpack unless you really want to. You’re welcome to bring whatever luggage suits you, wheelie suitcases are a popular choice!

For Nepal treks:

Once you’ve arrived and settled in, you’ll receive a free EverTrekker 80-litre duffel bag. You’ll then transfer your trekking gear into it, ready for your adventure. Our amazing porters will carry this for you throughout the trek.

Important: Stick to the weight limit of 15kg (combined for duffel and daypack). Your porter will be carrying multiple bags, so staying within the limit is vital for their safety and wellbeing.

Any belongings you don’t need on the trek can be left securely at the hotel, ready and waiting for you, clean and dry, after your journey in the mountains!

Once you’ve sent us your flight details, we’ll be tracking your arrival and our team will be ready and waiting to greet you.

Airport transfers are included in all of our trips. So as soon as you step out of the airport, someone with a big smile and an EverTrek sign will be there to welcome you!

Before your departure, we’ll also send you emergency contact details for both our UK and in-country teams, so if anything unexpected happens, you can contact us 24/7.

When you arrive in Lima, head straight to the airport hotel (there’s only one, just a few steps outside the terminal). You’ll check into your pre-booked room, and then on Day 2, your guide will meet you in the hotel lobby (usually around 08:00) to help you catch your flight to Cusco.

Top Tip: Make sure your travel insurance covers your flights

We recommend arranging your travel insurance as soon as you book your trek or flights. If anything prevents you from joining your trip, we’ll do everything we can to support you. But airlines often have stricter policies, and that’s where your insurance provider can become your best friend.
